Each business form that is used in QuickBooks has a predefined layout. The headings, columns and fields for entering information are already set up within the Intuit Standard Forms. These documents can be printed on preprinted forms, letterhead or plain paper. If the layout of a particular form doesn't meet your needs, you can create, download or import a customized template.

For extensive changes, beyond adding a logo, company name or address, start by duplicating a standard template. Choose Templates from the Lists menu. Highlight the desired template and click the Templates button. Choose Duplicate, select the type of new template to create and click OK. Then make your desired changes.

This new template must be saved under a different name. Most templates can even be duplicated and used as an entirely different form. For example, an invoice template can be duplicated as a cash sale template. The following list identifies the different types of templates available in QuickBooks:

  • Invoice
  • Credit Memo
  • Sales Receipt
  • Purchase Order
  • Statement
  • Estimate
  • Sales Order
  • Build Assembly

Below are four examples of how your business forms can be customized:

  • Different versions of a form can be created for use in specific situations. For example, an invoice form can be created with the title "Packing Slip" instead of "Invoice" for enclosure with shipped goods.
  • New columns and fields can be added or existing ones can be deleted. For example, custom fields in the item list, such as "color" and "size," can be added as columns on an invoice.
  • Changes can be made to the layout of the form. For example, a field can be moved to a new location on the form or made larger.
  • Text boxes, images, colored borders and signature lines can be added to your forms.
